Office Manager / Executive Personal Assistant – job. Cape Town. Executive PA experience is essential and bookkeeping knowledge is highly advantageous. Salary highly negotiable and working hours are from 08:00 – 18:00.

Minimum Requirements:

Matric and relevant tertiary qualification would be advantageous
Minimum of 4 years working experience as an Office Manager / Executive Personal Assistant, preferably within the Investment Industry
Strong financial acumen is a pre-requisite with relevant creditors / debtors experience (bookkeeping experience up to trial balance will be advantageous)
Medical aid submission and insurance claims experience
MS Office with advanced Excel skills; Pastel experience will also be preferred
Minimum typing speed of 40 wpm
Able to communicate at corporate executive level
Able to work under pressure whilst remaining adaptable and flexible
Able to multi-task and ensure all tasks are completed within given timeframes
Well organised and pedantic when it comes to attention to detail
Good time management and able to delegate when required
Can take direction and work as a team player when required
Have a valid driver’s licence and own vehicle
Prepared to work after hours if and when required


Key Performance Areas:

Screen telephone calls, enquiries / requests and handle when / where appropriate
Manage incoming email, faxes and telephone calls, and often manage or reply on behalf of Managing Director
Ensure that Managing Director is well prepared for meetings and take detailed minutes during these meetings and prepare visual aids when required
Assist with statutory returns i.e. SARS e-filing, PAYE, UIF and payment of accounts
Complete bookkeeping up to trial balance and present to Director/Accountant
Complete management of debtors and creditors
Medical aid submission and insurance claims
Liaise with clients, service providers and internal staff
Manage accurate diary/timeous notification of professional and personal engagements
Ensure that all filing is systemised and accurate
Capture and distribute reports and company correspondence to relevant persons
Ensure prompt execution of travel arrangements, requisitions, visa applications, FOREX applications etc.
Manage office stationery and consumables and order these when necessary
Ensure office is well organised and manage all building administration
Assist with special projects, KPI graphs and reporting
Assist with telesales when required or where the opportunity presents itself
Supervise junior staff and provide ad-hoc assistance to IT Administrators and Internal staff
Marketing and advertising project management
