Support Services Divisional Manager - BEE candidate
CANDIDATE MUST HAVE PROVEN FINANCIAL ACCOUNTING EXPERIENCE!!!!
Staff management
Responsibility in terms of Staff Management includes:
• Staff capacity planning within the division in conjunction with the various managers
• Allocation of staff to duties where appropriate
• Give strategic direction to the staff in the division
• Chair monthly divisional meetings
• Creating an environment that encourages creativity, innovation and forward thinking.
• Oversee the Performance Management process in the division
• Ensure the regular updating of job descriptions and performance agreements
• Mentorship, guidance and training where appropriate
• Disciplinary action when necessary
• Approval of leave where appropriate
Finance
• Overseeing the annual budgeting process in conjunction with the Finance Manager and with input from all the managers
• Managing the division in accordance with the budget
• Checking and approving the following
o Invoices where appropriate
o Reallocations & journal adjustments where appropriate
o Monthly Income Statements and notes in the Accounts pack
o Credit notes
• Attend the Audit Committee meetings and give feedback to the Audit Committee
• Report to the Board on the finances of the Institute
• Prepare the Annual Report for the AGM
IT
• Ensure that the IT department is resourced to meet demands
• In conjunction with the Admin manager ensure that an IT infrastructure strategy is in place
Admin
• Ensure that the Admin department is resourced to meet demands
• In conjunction with the Admin manager ensure that an infrastructure strategy is in place
Human Resources
Provide managers with support on general HR related matters, including ensuring that job descriptions and performance agreements are in place for all staff
Fulfill the role of Skills Facilitator and ensure that the annual report is lodged with Fasset
Responsible for the Employment Equity report
Oversee the recruitment process and responsible for liaising with recruitment agencies
Schedule psychometric tests with the psychologist
Oversee disciplinary and grievance processes
Company Secretarial duties
Monitor compliance with relevant legislation, regulations and King III
Oversee nomination and election processes
Responsible for the AGM
Ensure that Directors are registered with Cipro and that all information lodged with Cipro is accurate and up-to-date
Ensure that the Board pack is prepared and sent to the Board on time before each Board meeting
Responsible for all other company secretarial duties
Risk Management
Responsible for the Organisations's risk register
Ensure that managers meet at least twice a year to discuss the risks in the organization
Ensure that an internal audit takes place as directed by the Audit Committee
Customer service
Job Specifications
Formal Education:
Relevant academic qualification. Preferably a BCom as a foundation qualification
MBA/MBL/CA will be an advantage
Computer Literacy:
MS Word
MS Excel
Email & Internet
Powerpoint
Knowledge of social media platforms will be a distinct advantage
Experience
Must have strong financial management experience
Must have people management experience
Must have administrative experience
IT infrastructure knowledge will be a distinct advantage
Knowledge of the internal audit profession will be an advantage
